How to reply to Google reviews, with examples you can adapt
A practical way to reply to Google reviews: what to say to positive, mixed and negative reviews, how fast to reply, and what never to write.

Short answer: reply to reviews you can add something to, keep replies short and specific, thank people by mentioning what they actually said, and take problems offline without arguing in public.
Google's own guidance for replies is simple: be professional and polite, keep it short, and avoid sending the same "thank you" to everyone. Replies are public, so you are writing for the next customer as much as for the reviewer.
A reply structure that works
- Acknowledge something specific from the review.
- Add one useful fact — an answer, an update, or what happens next.
- Close with an invitation where relevant ("ask for Sam next time").
Keep it to two to four sentences. Do not include personal data such as the customer's order details, phone number or full name beyond what they have shown.
Examples to adapt
These are illustrative examples, not real reviews or real businesses. Only mention names, opening days, staffing or changes that are actually true for your business — if nothing has changed, don't say it has.
Positive review (illustrative): "Great haircut, Priya was brilliant with my son."
Thank you — Priya will be delighted to hear that. Children's cuts are Tuesday to Saturday, so book in again whenever he's ready.
Mixed review (illustrative): "Food was lovely but we waited 40 minutes."
Thank you for the kind words about the food, and sorry about the wait. We've added an extra person on Friday evenings for exactly this reason. We'd love to look after you better next time.
Negative review (illustrative): "Engineer never turned up."
We're sorry — a missed appointment is not acceptable. Please call the office and quote this review so we can find out what happened and put it right.
What not to write
- Arguments about who was right.
- Anything that reveals private details about the customer.
- Offers of refunds or discounts in exchange for changing a review. Incentivising review changes is prohibited by Google.
- Copy-pasted replies on every review.
How quickly should you reply?
Google does not publish a required response time. A practical target is to review new reviews every working day and reply to negative ones first, so problems are acknowledged while they are still current.
